1. Our Commitment to Privacy
The Booth Co. is committed to providing an enjoyable and convenient photo booth experience while handling the information of our customers, website visitors and venue partners responsibly.
This Privacy Policy explains how information is collected, used, stored, shared and protected when you visit our website, contact our team, submit a venue enquiry, use one of our photo booths, access digital photographs, make a payment or request customer assistance.
We aim to collect only the information reasonably required to provide, manage and improve our services.
2. Information We Collect
When you contact The Booth Co. through our website, email, telephone or enquiry form, we may collect your name, email address, telephone number, job title, business or venue name, venue location and information relating to a proposed photo booth placement or partnership. We may also collect any other information you choose to include in your enquiry.
When you use one of our photo booths, the system captures the photographs created during your session. It may also generate limited information connected with the session, including the date, approximate time, booth location, selected photo format, QR-code access information, transaction reference and technical information required to provide and support the service.
Customers are not required to provide an email address or telephone number to receive their digital photographs. Digital images are made available through the supported QR-code delivery system.
When you visit our website, certain technical information may be collected automatically by our website or service providers. This may include your IP address, browser type, device information, approximate location, pages viewed, referral source, date and time of access, website interactions and cookie or analytics information.
3. How We Use Information
We use the information collected through our website and photo booths to provide photo sessions, produce prints, deliver digital photographs through QR codes, process payments and refunds, respond to enquiries and provide customer assistance.
Information may also be used to manage venue partnerships, investigate printing or technical matters, maintain appropriate transaction and support records, improve the performance of our services, protect our equipment and systems, and meet relevant business, contractual, venue or legal requirements.
Customer photographs are created for the purpose of providing the selected photo booth experience. They will not be used for advertising, social media, promotional campaigns or analytics without clear permission from the customer.
4. Digital Photograph Delivery
Digital photographs are delivered through a convenient QR-code system, allowing customers to access their images directly from their own devices without providing additional personal contact information.
The QR code or digital photo link is intended for the customer and should be kept private. A person who obtains access to the QR code or link may be able to view the photographs associated with that session.
The Booth Co. does not sell customer photographs or routinely provide them to shopping centres, advertisers or unrelated businesses.
5. Photograph Storage and Retention
Photographs may be temporarily stored on the photo booth’s local computer for up to 30 days. This retention period supports digital delivery, customer enquiries, missing print assistance, refund requests and technical support.
After the applicable local retention period, photographs are deleted unless they are temporarily required to resolve an active customer request, transaction matter, technical issue or legal requirement.
After the applicable cloud retention period, photographs are deleted or made inaccessible in accordance with the platform’s configured retention process.
6. Cloud Processing and Overseas Storage
The cloud platform used to support QR-code photograph delivery is hosted in China.
This platform allows customers to receive and access their digital photographs without providing an email address or telephone number. It may process photographs and limited session information required to generate the QR-code link, deliver the images and provide relevant customer or technical support.
The Booth Co. aims to limit the information processed through the platform to what is reasonably required to provide and support the photo booth service.
Australian privacy guidance expects organisations covered by the relevant privacy requirements to be transparent about likely overseas handling and, where practical, identify the countries involved.
7. Access to Customer Photographs
Access to customer photographs is limited to authorised staff, service providers or technical contractors where access is reasonably required to provide assistance or maintain the service.
This may include helping a customer locate a digital photograph, resolving a missing print, investigating a technical matter, processing a refund, maintaining or repairing the system, addressing suspected misuse or responding to a legal requirement.
Authorised service providers and contractors are provided with access only where reasonably necessary to perform their approved role.
8. Payments and Refunds
Payments are processed before the photo session through a third-party commercial payment provider.
The Booth Co. and the photo booth do not store complete card numbers, card security codes or full payment credentials. Limited transaction information may be retained, including the payment amount, transaction time, payment status and transaction reference. This information may be used for accounting, refunds, transaction enquiries and customer support.
Customers may contact The Booth Co. where a payment has been accepted but a session does not begin, a purchased print or digital image is not supplied, an incorrect or duplicate charge appears, or another transaction matter requires assistance.
Refund requests will be reviewed according to the circumstances, The Booth Co.’s Refund Policy and applicable Australian consumer requirements.
9. Sharing Information with Service Providers
The Booth Co. does not sell, rent or trade personal information or customer photographs.
Information may be shared with trusted providers where reasonably required to operate and support our services. These providers may include website-hosting companies, photo booth software and cloud providers, payment processors, communication providers, technical contractors, repair providers, professional advisers and insurers.
Limited information may also be provided to venue management where reasonably required to manage a specific customer, operational or safety matter. Customer photographs are not routinely shared with venue partners.
Information may be provided to a government authority, regulator or another party where required by law or where the individual has provided permission.
10. Cookies and Website Analytics
Our website may use cookies and similar technologies to operate website features, remember visitor preferences, understand how the website is used, identify technical matters and improve website content and performance.
Certain cookies or analytics technologies may be provided by third-party website, hosting or analytics services.
You can manage or disable cookies through your browser settings. Some website features may operate differently when cookies are disabled.
11. Children and Family Sessions
The Booth Co.’s photo booths may be used by individuals, couples, families and groups.
A parent, guardian or responsible adult should supervise children where appropriate and ensure that everyone participating in the session is comfortable being photographed.
Photographs involving children will not be used for advertising, social media or promotional purposes without appropriate permission.
12. Information Security
The Booth Co. applies reasonable technical and organisational safeguards designed to support the responsible handling of customer information and photographs.
These measures may include restricted administrative access, password and account controls, system monitoring, software maintenance, controlled contractor access, employee confidentiality practices and secure third-party payment processing.
Our information-handling procedures are reviewed as our systems, services and technology develop. Any identified privacy or security concern will be assessed and addressed in a timely manner.
OAIC guidance provides that organisations covered by the Australian Privacy Principles should take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.
13. Privacy and Security Incidents
Where a privacy or security issue is identified, The Booth Co. will take reasonable steps to assess the matter, secure the relevant system, investigate what occurred, minimise any potential impact and improve relevant processes where appropriate.
Where notification is required under applicable Australian privacy law, The Booth Co. will notify the affected individuals and the relevant regulatory authority.
14. Marketing Communications
The Booth Co. may send business updates, service information or promotional communications where permission has been provided or where the communication is otherwise permitted.
Promotional messages will identify The Booth Co. and provide an accessible method for recipients to unsubscribe. Submitting a venue enquiry will not automatically subscribe a person to unrelated promotional communications.
Customer photographs will not be used for marketing, advertising, social media or promotional content without separate permission.
15. Retention of Other Information
Website enquiries, venue partnership communications, transaction information and customer-support records may be retained for as long as reasonably required to provide the relevant service, manage business relationships, respond to enquiries, process refunds, maintain financial records and meet contractual or legal requirements.
When information is no longer reasonably required, appropriate steps will be taken to delete or de-identify it.
16. Access, Correction and Privacy Requests
You may contact The Booth Co. to request access to personal information held about you, ask for inaccurate or outdated information to be corrected, request deletion where the information is no longer reasonably required, update your communication preferences or raise a question about how your information has been handled.
We may request suitable information to confirm your identity before completing a privacy request.
To help locate photographs from a particular photo booth session, we may ask for the booth location, session date, approximate session time and transaction reference where available.
17. Privacy Questions and Complaints
Questions, access requests, correction requests and privacy complaints may be submitted using the contact information provided below.
The Booth Co. will review the matter and respond within a reasonable period. Additional information may be requested where it is required to properly investigate or resolve the enquiry.
Where applicable, individuals who are not satisfied with our response may be able to contact the Office of the Australian Information Commissioner.
18. External Services and Links
Our website and QR-code delivery service may contain links to websites or platforms operated by third parties.
These services may apply their own privacy policies and information-handling practices. Customers are encouraged to review the relevant third party’s privacy information when accessing an external website or service.
19. Updates to This Privacy Policy
The Booth Co. may update this Privacy Policy when our operations, technology, service providers or legal requirements change.
The latest version will be published on our website with a revised effective date.
